Export Coordinator, Freight Forwarding (MONTREAL)

 Our export team at our downtown Montreal head office is currently looking for an Export Coordinator to work mainly in ocean freight within local markets. The incumbent is responsible for negotiating and quoting rates and related costings for submission to the client, initiating bookings (requesting and confirming) for mainly ocean export. This role requires the treatment of all documentation to the extent required by clients, and the processing of invoices for services rendered.

 The primary responsibilities of this position are:

•Offer consistently excellent customer service by effectively coordinating customer and carrier requirements, answering all questions and freight forwarding needs by phone or email, and resolving all customer, carrier and loading facility issues in a timely basis

•Submit bill of lading instructions to carriers in addition to preparing, processing, verifying for accuracy and dispatching all appropriate export documents for mainly ocean freight;

 •Issue and/or approve invoices for customers and carriers.

 

The person we are looking to hire will have the following qualifications:

•Bilingual: French and English, spoken and written;

 Minimum of 3 years’ experience with a freight forwarder,

•Excellent computer skills (freight forwarding software)

Customer Service Representative (International Freight Forwarding – Projects Division) - VANCOUVER

 Job Description:     Customer Service Representative

                                    International Freight Forwarding – Projects Division

 

 Reporting to:           Operations Manager

 Our International Forwarding team at our Vancouver, British Columbia office is currently looking for a well-organized, multitasked and self-motivated individual who will be responsible for coordinating and arranging international transportation services in our project forwarding department while working with other staff members to support customer service, meet short and long term goals, and increase the efficiency of the division. The primary responsibilities of this position are:


 SPECIFIC ACCOUNTABILITIES:

    Oversee operations and improve work flow and procedures by analyzing and implementing changes to support customers’ goals and client satisfaction.

  • Monitor all aspects of the logistics process, including deliveries, transloading, container delivery, bookings, bills of lading, and invoicing.

  • Coordinate with suppliers, ocean & air carriers, transloading facilities, trucking companies, clients, sales offices, and overseas customers to ensure accurate and timely order fulfillment.

  • Monitor shipments closely to meet carrier cut-off dates & VGM deadlines to ensure cargo is loaded onto intended vessels. This to include continuous monitoring of orders from the point of receipt through to vessel departure.

  • Communicate B/L-AWB instructions with shipping/air lines; approve B/L proof copies; arrange for final B/L to be printed and delivered to customers.

  • Prepare and process documents such as Bills of Lading, AWB’s, Certificates of Origin, Commercial Invoices, Mill Certificates, etc.

  • Arrange for and provide accurate and timely export documents to customers in accordance with the terms of sales agreements and letters of credit.

  • Update shipment data in order management systems as changes occur.

  • Input data into internal KPI report systems to monitor supplier performance.

  • Manage cargo flow to meet weekly, monthly, and quarterly volume allocations.

   REQUIREMENTS OF THE JOB, DESIRED TRAINING AND EXPERIENCE 


  • Strong attention to detail to ensure accuracy of documents

  • Ability to handle fluctuating work volumes and meet deadlines

  • Good typing skills and a proficient knowledge of Microsoft Office products

  • Willingness to learn new skills and participate in training programs

  • Minimum three years’ experience in international forwarding in marine/air transportation

  • Successful completion of CIFFA Education Program (Preferred)

  • Some Post-Secondary education (Preferred)

Executive Assistant (MONTREAL)

 

Gillespie-Munro is currently looking for an Executive Assistant for its headquarters in downtown Montreal. This key role in the organization supports the President and the executive committee with a variety of assignments. The ideal candidate will be a resourceful and proactive team player who thrives on having multiple tasks and challenges.

The primary responsibilities of this position are:


  • Support the President with administrative tasks, act as liaison with staff and external network on his behalf to coordinate meetings or events and draft correspondence
  • Manage the reception staff (hiring process, performance management, supervision) and ensure that reception area is adequate
  • Coordinate internal meetings such as training sessions and events from logistics to documentation and invitations
  • Verify, analyze and process invoices and reports on a regular basis
  • Provide support to staff for office tools, systems and software; place service calls when needed
  • Coordinate with appropriate suppliers to ensure the proper inventory of office supplies, business cards, marketing and sales material
  • Responsible for part of the new employee onboarding process and ensure that procedures are followed when employees are exiting the company
  • Provide support on an as needed basis for a variety of tasks across the organization

  
 The person we are looking to hire will have the following qualifications:


  • Bilingual – English and French – written and spoken

  • Excellent communication and people skills

  • Worked in a multi-task coordination/assistant position for 5 + years

  • Worked directly for CEO or Executive level staff

  • Completed college-level diploma is an asset

  • Knowledge of freight forwarding is an asset

  • Proficient in Word, Excel, PowerPoint and Outlook

  • Excellent organizational skills to handle multiple simultaneous projects
